Overall Purpose of the Job
As an Entry-Level Admin Assistant, you will be responsible for handling documentation and correspondence, managing office administration tasks, coordinating travel arrangements, scheduling appointments and meetings, and maintaining confidentiality at all times. Your role will be pivotal in ensuring the smooth operation of administrative functions within the organization.
Duties & Responsibilities
- Meeting Coordination: Schedule and book meetings for the General Manager, clients, management, and individual staff members.
- Minute Taking: Record and distribute minutes of meetings accurately and promptly.
- Documentation: Type correspondence, screen and prioritize documentation for the General Manager, and ensure all outgoing documentation is properly distributed.
- Communication: Answer and screen calls for the General Manager, provide telephonic assistance for problems/complaints, and give detailed feedback to clients when required.
- Travel Arrangements: Arrange travel and accommodation for the General Manager and other managers, ensuring all arrangements are within budget.
- Fleet Management: Control fleet repairs and manage purchase orders.
- Ad-hoc Functions: Perform any additional tasks as required by the Head of Department (HOD).
- Staff Assistance: Assist staff requiring appointments with the General Manager and support the sales force with general operations.
- Payroll Administration: Handle payroll-related tasks including leave forms, applications, and reconciliations.
- Email Management: Respond to high volumes of emails efficiently.
- Product Knowledge: Maintain an in-depth knowledge of Fidelity SecureDrive’s products and services.
Requirements
- Education: Matric / Grade 12 certificate.
- Communication Skills: Excellent verbal and written communication abilities.
- Technical Skills: Proficiency in MS Office, Excel, and PowerPoint.
- Interpersonal Skills: Strong interpersonal skills with the ability to manage multiple projects simultaneously.
- Organizational Skills: High organizational skills and the ability to prioritize workload effectively.
- Attention to Detail: Must be detail-oriented to ensure accuracy in all tasks.
