This position is open to candidates who are looking to support the Document Management Department by handling administrative duties and ensuring smooth office operations.
Key Responsibilities:
As an Administrative Assistant, you will be responsible for the following tasks:
Compliance Administration:
- Maintain accurate documentation related to departmental activities.
- Ensure compliance with internal policies and process standards.
- Stay updated on business goals and internal control practices.
Office Coordination:
- Assist with follow-ups on outstanding tasks and queries.
- Manage requests and ensure responses within deadlines.
- Maintain departmental stationery and validate submitted information.
- Update various systems and registers and manage document references.
- Allocate matters to team members and handle stakeholder communications.
Meeting Support:
- Arrange meetings for the department and take minutes during sessions.
- Create a register for tracking outstanding issues and resolutions.
- Manage team diaries and confirm meetings with stakeholders.
Document and Records Management:
- Administer records and filing systems in line with RAF’s filing plan.
- Ensure easy retrieval of documents and maintain confidentiality.
- Acknowledge document receipts, allocate file numbers, and record data on the system.
Qualifications and Experience:
- Education: Matric or Grade 12 certificate is required.
- Experience: At least 1 year of relevant experience in an administrative role.
