Purpose of the Job

An exciting opportunity has arisen within Postbank for an Administrator to support the Variation Notice project, specifically focusing on Card Distribution. This fixed-term contract (FTC) position lasts for 3 months and is ideal for individuals looking to contribute to a significant project within the Human Resources business unit. Job Responsibilities

The Administrator will provide a full range of administrative services within the Variation Notice project, including but not limited to:

  • Arranging and coordinating meetings, recording and capturing minutes, and following up on action items on behalf of management.
  • Preparing agendas, reports, statistics, and general correspondence.
  • Gathering and assembling necessary background information and management data, analyzing it, and reporting in the required format.
  • Designing and preparing presentations, reports, and statutory returns using operational knowledge to meet requirements.
  • Handling all correspondence and inquiries, directing, coordinating, and escalating issues for resolution.
  • Providing administrative support for the Card Replacement project.
  • Coordinating weekly timesheets, overtime, and any other project-related claims.
  • Developing and maintaining a filing/retrieval system; coordinating filing and backups.
  • Setting up and managing a document repository for the project.
  • Coordinating all financial administration duties (staff refreshments, telephone, private calls, etc.).
  • Ordering uniforms, name tags, materials, and stationary.
  • Creating, modifying, and maintaining databases on system modules (e.g., MySAP).
  • Assisting with administrative duties related to the advertisement of positions.
  • Receiving and welcoming guests, including management guests.
  • Capturing and acknowledging supporting documents, acceptance of offers, and other relevant documents.
  • Drawing and maintaining statistics on training interventions and absenteeism.
  • General housekeeping duties.
  • Assisting with interview logistics, venue arrangements, and candidate invitations.
  • Handling HR and general inquiries, both verbally and in writing.
  • Assisting with updating employees’ data and files.
  • Assisting with the preparation, distribution, and gathering of feedback for various correspondences sent to candidates.
  • Assisting with assessment logistics and queries relating to assessment links and venue logistics.

Qualifications and Experience

  • Grade 12 Certificate (NQF Level 4)
  • NQF Level 6 qualification in Administration or a related field
  • 1 to 3 years of administrative or related experience
  • Sound computer literacy, particularly with MS Office (Word, Excel, PowerPoint)
  • Fluent in English with excellent communication and influencing skills
  • Hands-on approach to work with excellent computer literacy skills
  • Ability to liaise with stakeholders, plan, organize, coordinate, and control tasks
  • Strong interpersonal skills, verbal and communication skills (read, write, speak)
  • Ability to prioritize tasks, reason soundly, solve problems, and work independently
  • Analytical, accurate, and able to handle stress and work under pressure
  • Initiative, self-motivation, output, and deadline-driven mindset
