Role Overview: Receptionist

The Receptionist will be a key part of the Facilities Management and Security Services (FM & SS) Portfolio. In this role, you will be responsible for welcoming visitors, managing inquiries, and ensuring a positive and professional image of the CSIR. Additionally, you will assist with administrative tasks to support smooth business operations.

Key Responsibilities

Reception Services

  • Welcome and register visitors, directing them to their destinations.
  • Manage incoming mail, parcels, and documents, notifying recipients promptly.
  • Provide front desk services for clients and suppliers, ensuring efficient operations.
  • Follow security procedures to control access and report any breaches.
  • Maintain the reception area, ensuring it is tidy and organized.
  • Keep the information stand at reception updated with relevant publications.
  • Regularly update personnel contact details for efficient client communication.

Customer Service

  • Engage with customers professionally and respectfully, understanding their needs.
  • Build and maintain positive relationships with clients.
  • Respond to customer requests efficiently to uphold CSIR’s positive image.

Administrative Support

  • Assist in scheduling staff meetings, taking minutes, and managing travel arrangements.
  • Help with document management, including loading to SharePoint.
  • Coordinate boardroom setups, fleet administration, and stock control of office consumables.
  • Duplicate and manage the safekeeping of unit keys.
  • Support registry operations and assist with report binding.
  • Provide additional assistance as needed to ensure departmental service levels are maintained.

Qualifications and Experience

  • A Grade 12 certificate is required.
  • At least two years of experience in a receptionist or business support role.
  • Strong focus on customer service and excellent interpersonal skills.
  • Proficient computer skills and a professional telephone manner.
  • Excellent verbal and written communication abilities.
